We are on the lookout for a dynamic and resourceful Executive Assistant to join our team and provide essential support to our top leadership. This role is perfect for someone who thrives on organization, anticipating needs, and ensuring that everything runs smoothly.

Key Responsibilities:

- Oversee and manage the calendars of our executives, arranging meetings, appointments, and travel plans with precision.
- Manage email correspondence efficiently, ensuring prompt replies and highlighting urgent matters.
- Prepare, review, and refine documents, presentations, and reports to ensure they are error-free and professional.
- Assist with various tasks such as mailing, shipping, and running errands to facilitate executive operations.
- Organize and prepare agendas for meetings, participate in weekly leadership meetings, and meticulously record minutes, following up on action items as necessary.
- Conduct research and gather information to support decision-making and project planning.
- Assist with budgeting tasks and conduct basic research as required.
- Manage receipts and expense reports diligently to ensure they are processed accurately and on time.
- Arrange travel accommodations, including booking flights, hotels, and transportation, ensuring a seamless travel experience.
- Create detailed itineraries and research activities to enhance travel experiences for our executives.
- Identify opportunities to improve executive productivity and propose innovative solutions.
- Handle confidential information with the utmost discretion and professionalism, ensuring privacy and security.

Qualifications:

- A minimum of 5 years of experience as an Executive Assistant or in a similar role.
- Proficiency in Microsoft Office Suite (Word, Excel), with familiarity with Airtable being a bonus.
- Exceptional written and verbal communication skills.
- Strong organizational skills with a keen eye for detail.
- The ability to handle sensitive information discreetly and professionally.
- A proactive and curious mindset, with the ability to anticipate needs and solve problems independently.
- Patience, respectfulness, and the ability to remain composed under pressure.

Work Environment:

- Flexible work arrangements, with the option for full-time or part-time positions.
- On-site work required for the first 90 days, with the possibility of hybrid or remote work after this period.
