Reporting to the Assistant Director of Athletics for Internal Operations, the Budget Assistant supports Athletics purchasing; provides excellent customer service to student-athletes, coaches, and staff; maintains accounts; assists with operating budget development and financial reporting; collects and deposits WCU Athletics revenue; and supports athletic events. This position may require evening and weekend hours.
The ideal candidate will demonstrate customer service and administrative support experience; strong organizational and record-keeping skills; the ability to prioritize tasks and solve problems, the ability to work independently and as part of a team; and the ability to communicate and collaborate with a diverse population of campus partners including students, faculty, staff and coaches.
Responsibilities include: - Prepare all purchase orders through various university online procurement systems
- Order all equipment, uniforms, and supplies for all areas of WCU Athletics
- Manage and audit all accounts regularly to ensure accuracy and budgetary compliance
- Collect and audit all department revenue, reconcile and report all income and expenses to relevant parties
- Assist in the preparation of departmental operating budgets and NCAA/EADA reports
- Assist in the fiscal year reconciliation of all departmental accounts
- Assist with Athletic Events in areas such as ticket sales, registrations, and game management as needed
- Other duties as assigned
- One year as a Fiscal Assistant or
- Three years of work involving the maintenance of fiscal or financial records, including one year of responsible work which involves the application of accounting or fiscal principles and practices; and graduation from high school or
- One year of experience in maintaining and reviewing fiscal records and an Associate degree in accounting or business administration or
- Any equivalent combination of experience and training
Required Knowledge, Skills & Abilities: - Thorough knowledge of bookkeeping principles and practices
- Knowledge of modern office practices and equipment
- Some knowledge of accounting principles and methods
- Ability to perform detailed work involving written or numerical data and to make arithmetical calculations rapidly and accurately
- Ability to prepare financial reports and statements
- Ability to apply and adapt established methods to financial transactions
- Experience with online requisition software such as NetSuite and/or SourcePoint
- Experience creating and maintaining complex reports using Excel
- Higher education experience
- College athletics experience
- Customer service or student support experience
